Registration and the first days at Roverway 2018Dear Planning Team,Roverway 2018 is getting closer and closer. Therefore, we would like to inform you about registration, the first days at Roverway and want to ask your for the last pieces of information. This Email will also be placed on the Planning Team Basecamp as a message. If you have a question about this form which is relevant for everybody, please post it on Basecamp. Otherwise ask first to your teamlead and then further to registration@roverway2018.nl. In this Email, you are asked to fill in one last form to let us know when and where you join Roverway 2018. Please fill in this form asap via this link (login in SOL first). This information is needed to make the final arrangements for your lunches and dinners and for the busses. So, it is highly important that you fill in this information immediately and then read the rest of the mail. Registration update: You need to register to enter the beach at The Hague and to enter the Scoutinglandgoed Zeewolde. Registration takes place in four steps: 1. You have already been added to SOL as member of the Planning Team. 2. After you have been registered as planning team member, you also have to enroll for the event. This is the moment that you pay your fee and you will receive your Planning Team scarf. See below which link you have to use for enrolling for the event. 3.We are today with this mail at step 3 of the registration process, in which we ask you to fill in the last form on when you actually arrive, participate and have meals with us. 4. In step 4, you will get your name card, but only after completing step 1 to 3. Step 4 takes place at the start of the Roverway. Important: your name card in combination with your Planning team scarf gives you access to the Roverway (and some of the restricted areas), so DO NOT swap your Planning team scarf. Registration for the (in all cases, first login into SOL): - Event as planning team member: https://sol.scouting.nl/as/form/17488/participant/new - Event as Path leader: https://sol.scouting.nl/as/form/18314/participant/new - Event as member of Production 2018: https://sol.scouting.nl/as/form/20294/participant/new - Part time volunteers: https://sol.scouting.nl/as/form/21524/participant/new - Part time volunteers (The Hague build only): https://sol.scouting.nl/as/form/21596/participant/new Your first days Zeewolde and how to get to The Hague: We have agreed with the municipality of The Hague that most of the Planning Team members arrive on 23 July in The Hague, because during the days prior to 23 July the beach is open and you are not allowed to put up tents, nor are facilities available. You are welcome to join the Roverway 2018 as of Sunday, July 22nd after 19:00 in Zeewolde. After 19:00 the facilities are ready and you can put up your tent. First drop off your bags at main camp and then park your car near Scoutinglandgoed Zeewolde at ‘Erkemederstrand’ 52°16'29.0"N 5°31'14.2"E. A shuttle bus will take you and your bags to Scoutinglandgoed Zeewolde. After 23:00, all cars must be removed from the main camp. How do you get from Scoutinglandgoed Zeewolde to The Hague on the opening day? On 23 July we provide busses from Scoutinglandgoed Zeewolde to The Hague for all Planning Team members. The main reasons for this are that around the opening site in The Hague, parking for Roverway 2018 is not arranged and busses are more sustainable than cars. Parking in The Hague is at your own cost and cannot be reimbursed. Additionally, parking spots around the opening site are hard to get and are fairly expensive (running up to €50,- per day). The busses to The Hague leave at the following times: If you think you are eligible for a parking waiver to be able to park near the event site, you can send a request with a good reason to: parking@roverway2018.nl. Note that all IST/CMT/Others are expected to arrive for registration and the Opening Ceremony at The Hague at 23 July. The site of Scoutinglandgoed Zeewolde will be closed from 23 July until 24 July. So if you cannot join the Opening Ceremony, then please join us at Scoutinglandgoed Zeewolde 24 July. Where do I sleep on 23 July? Planning Team members will sleep around the same area as the participants on 23 July. This means that you need to bring your sleeping bag and tent to The Hague including pegs that can be used on the beach. How do I get back to Scoutinglandgoed Zeewolde on 24 July? Busses are provided to take you back from The Hague to Scoutinglandgoed Zeewolde at the following times. These busses are designated to use by PT/IST/CMT/Others. Below an overview of all departures and arrivals. Your last days Zeewolde: Our participants, IST and CMT will leave the Landgoed after the closing ceremony on 2 August by bus as of noon. At 17:00PM, all participants, IST and CMT will be on their way and the gate of the Landgoed will be closed. Also for incoming traffic. As Planning Team member, you are invited to the handover party that starts at 22:00PM. We will then handover the ‘keys’ of the landgoed to the Nawaka crew. All Roverway 2018 team members need to be off the site on 3 August, 10:00AM -- Sharp. Summary: - Parking in The Hague is at your own expense, therefore busses are provided which will take you from Scoutinglandgoed Zeewolde to The Hague and back. - For most of you Roverway 2018 starts at Scoutinglandgoed Zeewolde at 19:00 on 22 July. You can pitch your tent and sleep there from 22 to 23 July. - Registration requires one additional form to be filled in on when you are at Roverway 2018 and when not. - You will receive your name card at the start of Roverway, for most of you in The Hague next to the Zuiderstrand Theater, just before you enter the beach, on 23 July. Your namecard and scarf are your key to the event. - After the Opening Ceremony you will stay / sleep at the beach in The Hague, so bring your sleeping bag, tent, etc. - Busses are provided to take you back to Zeewolde or to your Path on 24 July. - You have to make sure that you have left the landgoed on 3 August at 10:00AM. |
